Why MasterKey Uses Self-Showing Technology to Lease Rental Homes Faster

When you hire a professional property management company, you may expect every prospective resident to be personally escorted through your rental property by a leasing agent. For many years, that was the standard approach. Today, technology gives us a better option.

At MasterKey Property Management, we use secure, industry-leading self-showing technology that allows prospective residents to tour available rental homes on their own schedule while giving our team oversight of the leasing process.

Why? Because when a rental property is vacant, speed and accessibility matter. The easier we make it for qualified prospects to see a property, the more opportunities we have to find the right resident and minimize unnecessary vacancy – and the industry data increasingly supports that approach.

The Problem With Traditional Agent-Only Showings

Imagine a prospective resident finds your rental online at 10:00 a.m. They’re interested and want to see it that afternoon. With traditional agent-accompanied showings, they may have to wait until an agent is available. Work schedules have to align. Appointments have to be coordinated. If evenings or weekends are the prospect’s only availability, the delay can grow even longer.

Meanwhile, that prospect may be looking at several other rental properties. That delay matters – RentEngine leasing data found that prospects using self-guided tours toured a property a median of approximately 2.3 hours after their initial inquiry, compared with approximately 43.4 hours for agent-accompanied showings.

Self-showing technology allows us to remove much of that scheduling bottleneck and give prospective residents the opportunity to see a home while their interest is still high.

More Showing Availability Means More Opportunities

One of the biggest advantages of self-showing technology is simple: the property becomes easier to see. Prospective residents aren’t limited to a leasing agent’s calendar. Depending on availability, they can tour during the day, after work, or on weekends.

Industry reporting has associated self-guided showing technology with approximately 25% more tour activity, with a meaningful portion of those tours occurring during evenings and weekends.

For a rental property owner, that additional accessibility can mean:

  • More prospective residents are able to tour the property
  • Interested prospects can tour sooner after discovering the listing
  • Fewer prospects are lost because their schedule doesn’t match an agent’s availability
  • The property keeps generating showing activity outside traditional business hours

We don’t want a qualified prospect to pass over an otherwise great rental simply because they couldn’t find a convenient time to see it.

Why a Few Days of Vacancy Matter

Every vacant day has a cost. Consider a rental property priced at $2,400 per month – that’s approximately $80 in potential rental income per day. Four additional vacant days could represent roughly $320 in unrealized rent. Ten days would be approximately $800.

That’s why we pay close attention to anything that can responsibly remove unnecessary delays from the leasing process. RentEngine’s operational reporting has shown approximately 2–4 fewer days of vacancy across scattered-site portfolios using self-guided showings compared with accompanied showings. Some self-showing technology providers have reported even larger reductions in time on market under optimal conditions.

We don’t promise that self-showing technology will lease every property several days faster. Property condition, rental price, location, market demand, seasonality, screening criteria, and marketing all affect leasing time. But if we can remove an unnecessary scheduling obstacle between an interested prospect and your property, we believe that’s good property management.

But Is Self-Showing Secure?

This is understandably one of the first questions rental property owners ask.

Self-showing doesn’t mean we simply hand out a lockbox code and allow unrestricted access to your property. Before receiving access, prospects complete an identity-verification process. Access is then provided securely for the specific property and scheduled tour, and it’s time-limited. The technology also gives our team visibility into showing activity.

That’s very different from a traditional combination lockbox, where the same code might get shared repeatedly. Modern self-showing technology is designed to combine convenience for legitimate prospective residents with controlled access and accountability for the property owner.

“Owners often assume self-showing means less oversight. In practice, it gives us more visibility – verified identity, a time-stamped access record, and a scheduled window – than a shared lockbox code ever did.”

Robert Dell'Osso — CEO, MasterKey Property Management

Self-Showing Does Not Mean Self-Service Management

This distinction is important. The technology may allow a prospect to walk through the home independently, but the leasing process is still professionally managed by MasterKey.

Our team remains involved throughout the process, including:

  • Marketing and advertising the property
  • Managing rental inquiries
  • Monitoring showing activity
  • Tracking prospect engagement
  • Following up after tours
  • Responding to prospect questions
  • Managing applications
  • Conducting screening in accordance with established criteria and applicable Fair Housing requirements
  • Preparing and coordinating the lease
  • Managing the transition from applicant to resident

Technology handles the part of the process where technology makes things faster and more convenient. Our team handles the parts that require judgment, communication, oversight, and professional property management experience.

Faster Tours Are Only Part of the Equation

Getting someone through the front door quickly doesn’t automatically produce a signed lease. A successful leasing strategy requires several pieces working together: appropriate pricing, strong photography and marketing, convenient access, monitored showing activity, evaluated feedback, timely follow-up with interested prospects, and applications processed consistently and thoroughly.

This is where the combination of technology and professional management becomes particularly valuable. Self-showing technology helps us remove friction from the prospect’s experience while giving the MasterKey team information we can use to actively manage the leasing process.

For example, a property receiving substantial online interest but very few tours tells us something different than a property receiving many tours but few applications. Showing data helps us see what’s happening and respond appropriately rather than simply putting a property online and waiting.

Why Not Just Have an Agent Attend Every Showing?

An accompanied showing can certainly provide a personal experience. But it also creates a scheduling constraint that isn’t always necessary.

The question we ask is not:

“How has rental property always been shown?”

It’s:

“What gives our owner’s property the best opportunity to lease efficiently while maintaining appropriate security and professional oversight?”

For many long-term rental properties, secure self-showing technology gives us the best combination of accessibility, speed, data, security, and efficiency. It also lets our leasing team spend more time actively managing the entire leasing process instead of driving between properties and waiting for appointments – including prospects who may never show up.

What This Means for MasterKey Property Owners

Ultimately, our use of self-showing technology isn’t about replacing personal service. It’s about using technology where it creates a better leasing process. For property owners, that means:

  • Greater showing availability. Prospective residents have more opportunities to see the home, including evenings and weekends.
  • Faster speed-to-tour. Interested prospects can often see the property within hours rather than waiting a day or more for schedules to align.
  • More opportunities to reach prospective residents. Removing scheduling barriers can increase the number of people who are actually able to tour.
  • Potentially fewer vacancy days. Industry data indicates that improved showing accessibility can contribute to shorter vacancy periods.
  • Better leasing visibility. Our team can monitor showing activity and prospect engagement instead of relying solely on manually scheduled appointments.
  • Professional oversight throughout the process. MasterKey remains responsible for marketing, communication, follow-up, screening, leasing, and management.

Technology Should Make Property Management Better – Not Less Personal

At MasterKey Property Management, we have more than 20 years of property management experience. We’ve also learned that “the way it’s always been done” isn’t necessarily the way it should continue to be done.

The best property management combines experience and human judgment with technology that makes the process more efficient. Secure self-showing technology is one example. It gives prospective residents the flexibility they increasingly expect while helping us give owners what matters most: professional oversight, greater leasing efficiency, and a strategy designed to reduce unnecessary vacancy and protect their investment.

Frequently Asked Questions About Self-Showing

Is self-showing technology safe for my property?
Yes. Prospects complete an identity-verification process before receiving access, and access is granted for a specific property and scheduled tour window only. MasterKey’s team also has visibility into showing activity, which offers more accountability than a traditional shared lockbox code.
Does self-showing mean less personal service from MasterKey?
No. Self-showing technology handles the walkthrough itself. MasterKey’s team continues to handle marketing, inquiries, follow-up, screening, lease preparation, and every part of the process that requires judgment and communication.
How much faster can self-showing lease a property?
Industry reporting points to roughly 2–4 fewer vacancy days on average, with prospects touring a median of about 2.3 hours after inquiry versus roughly 43.4 hours for agent-accompanied showings. Actual results vary by property condition, price, location, and market demand.
Can I request agent-accompanied showings instead?
Self-showing is our standard approach because it gives qualified prospects more access and gives your property more opportunities to be seen. Reach out to our team to discuss your property’s specific leasing strategy.
What happens if a prospect can’t be verified?
Access is only granted after identity verification is complete. A prospect who isn’t verified isn’t given a showing window, which keeps unauthorized access out of the process entirely.
